- Communities In Schools of Tennessee (CISTN) is a nonprofit that partners with K-12 public schools to surround students with a community of support empowering them to stay in school and achieve in life.
- As part of the CIS national network, CISTN achieves this mission by placing site coordinators in schools across the state to provide school-wide interventions and case-managed services for students in need.

The Data Manager (DM) will maintain CISTN’s internal database, ensuring a high level of data quality through training and internal reporting, while providing support to program managers.
Job Responsibilities
Communities in Schools Data Management System (CISDM)
- Manages CISDM administrative functions including account access for staff, password resets, etc.
- Serves as the primary contact for troubleshooting CISDM issues within CISTN and providing technical assistance to staff as needed. Responsible for connecting with CIS National should an issue need further assistance and communicating solutions to the CISTN team.
- Maintains resources for data entry for program managers including step-by-step guides and presentations; regularly ensuring these resources are aligned with the latest CISDM updates.
- Coaches program managers and directors on data entry standards and CISDM best practices
- Regularly pulls reports from CISDM to check for data quality and ensure accreditation standards are met, including monthly data checks. Communicates findings to program managers and their program directors and advises on necessary revisions.
- Works with Program Managers and Program Directors to ensure data needs are met. This may include collecting surveys and professional development evaluations and creating a data committee of Program Managers to provide feedback.
- Attends CIS National sessions related to CISDM updates and data administration. Communicates updates to staff.
Training
- Deliver CISDM training for any new staff as part of the onboarding process.
- Deliver staff training on CISDM throughout the year. This could include training directly for program managers and/or train-the-trainer training for program directors. Will include some travel.
Reporting
- Prepares standardized data for school-level reports where appropriate, including quarterly reports.
- Spearheads routine meetings with Program Directors to review school-level data, ensuring accuracy and ongoing data knowledge/context.
- Implements the End of Year (EOY) process (March-December), identifying necessary modifications, facilitating best practices for data review, communicating standards and remedies to Program Directors and Program Managers
- Conducts internal End of Year (EOY) review for CISDM data.
Data Coordination and Additional Responsibilities
- Collaborates with program managers and directors to understand the partner district’s student information systems (SIS) to pull reports on schoolwide and case-managed student progress.
- Develops and leads all training and informational resources related to Sign Now. Manages SignNow database and creates templates for parent/guardian consents and other forms as needed.
- Leads all training and informational resources related to DESSA. Manages DESSA database and provides technical support as needed. Review DESSA data with Program Managers and directors to facilitate the use of DESSA resources.
- Oversees and maintains the TANF evidence database.
- Applies a clear understanding of racial inequities and other forms of discrimination and demonstrates a willingness to operate from an anti-oppression model to all aspects of the work
Currently, the Data Manager is based in Tennessee with travel to Nashville and other organizational sites required. The Data Director and the Data Manager will work together to determine the work arrangements for both in-person and remote work, considering the season of work and organizational needs. Qualifications

- Administrative Proficiency: Navigateinternal systems, software, and databases efficiently, with minimal intervention. Consistently completes data entry and reporting accurately and on time. Manages multiple assignments at once and prioritizes tasks appropriately.
- Measurement & Analysis:Utilizes evidence and best practices to measure progress towards strategic priorities. Makes data-driven decisions and continuously improves data collection and analysis strategies.
- Operational Excellence:Utilizes best practices and ensures efficient and competent processes are in place to streamline daily operations.
- Training & Coaching: Implements clear and effective group training and one-to-one coaching. Differentiates training methods and tools based on the audience’s needs and abilities. Maintains a positive data culture through intentional, clear, and frequent communication with the team.
EDUCATION and/or EXPERIENCE
- Associate degree or credentials in related field; bachelor’s degree preferred.
- Work experience can be substituted for those without formal education, requiring two to six years of direct experience. Training, non-profit, and/or school-based experience preferred.
- Demonstrated expertise with database management and using Microsoft Office; specifically, Excel, PowerPoint Word, and other tools to analyze and visualize data, prepare reports, etc.
